PHHH provides a home away from home for families and patients who travel to Nashville for medical treatment. We strive to provide an atmosphere that is encouraging, supportive, loving, and restful. Our policies are designed to maintain this environment for all our guests.
If you pose any health or safety risk to our staff or guests, we reserve the right to ask you to leave.
Please read these policies carefully before agreeing to stay at PHHH. We have some common areas that are shared and used for communal space. If you feel your health may be compromised living here, have any concerns with communal living, or you are unable to comply with any of these policies, please consider alternate arrangements.
REGISTRATION POLICIES:

- All guests must complete and pass a background check. Upon arrival you must complete a registration form in the office. If any person without paperwork on file is found using the door code or is present in the residence unaccompanied by a registered family member, that person and the associated family will be asked to leave immediately.
- Payment is due each Monday. Cash, personal check, MasterCard, American Express, and Visa are accepted. You may be asked to place a card on file.
- Guest rooms are filled on a strictly first-come, first-served basis. Each registered guest will be given a lanyard to be worn for the duration of their stay.
- Overnight absences must be authorized by a staff member.
- No pets are allowed including therapy or emotional support animals. Working service dogs must be approved in advance.
IMPORTANT REMINDERS:
- PHHH staff will conduct routine room inspections with no advance notice.
- Under NO conditions are alcoholic beverages, illegal substances, or weapons allowed onto any of the premises. If you violate this policy, you will be asked to leave.
- Please note that all common areas are under 24/7 video surveillance.
- Any guest over the age of 18 must complete and pass a background check. Any guest found on property without doing so will forfeit the room.
- Registered guests must always wear their lanyard.
- Children under the age of 18 are the sole responsibility of their parents or guardians. No child should be on PHHH property without a parent or guardian present.
- Your key includes a lanyard to wear; you are responsible for keeping your keys with you at ALL TIMES. DOORS WILL AUTOMATICALLY LOCK BEHIND YOU. Your key will be used for the exterior doors, your individual room, and your food cubby located in the kitchen.
- The use of mobility scooters must be approved PRIOR TO ARRIVAL at PHHH.
- No toasters, microwaves, coffee pots, scented plug ins, or candles allowed in guest rooms. The use of space heaters is strictly prohibited at PHHH.
- Guests are responsible for the cleanliness of their room and bathroom.
- We only allow 1 car per guest. Guests must register their vehicle parked on property and display a PHHH Parking Permit on their dashboard at all times. Unpermitted vehicles will be towed.
- Only cars, NO TRUCKS, will be permitted to park in the parking garage under the building. Guests will be given parking passes based on availability.
GUEST RESPONSIBILITIES & CONSIDERATIONS:
- Please note that you are required to use your room on a daily basis. If an emergency arises that requires you to be away overnight, you must notify staff prior to your absence. Please note that you may be asked to release the room.
- Please unplug all electrical appliances, curling irons, etc. before leaving your room.
- Guests must be fully dressed in common areas—no pajamas, or bare feet.
- Please be respectful of other guests and their property. Please also be respectful with noise levels in your room. Your neighbors may be resting or needing quiet time.
- The use of cell phones on speaker in common areas is strictly prohibited.
- Do not hang anything on the walls in the guest rooms. Any damage caused will be the responsibility of the guest.
- No more than 3 visitors per family during visiting hours. Visitor hours end at 6pm DAILY.
- No profanity, yelling, or abusive language.
COMPUTERS:
- Computers and printers are available for guest use 24/7 in the library and on the desk by the living room. When using the computers, please be respectful of other guests and limit usage to 30 minutes if another guest is waiting.
- Computers and Printers can be found in the Library and on the desk located off the Living Room. Please see the front desk for computer login credentials.
LAUNDRY:
- There are washing machines and dryers located on the 1st floor past the front desk. They are free to use, and detergent is provided.
- Please be aware of others who need to do laundry as well, and do not use more than one machine at a time.
- Please place all dirty linens in a yellow bag. Then, place the yellow laundry bags in the rolling cart located in the hall past the front desk by the Library.
KITCHEN:
- You are responsible for preparing your own breakfast, lunch, and some dinner meals. Some food is available in the House Pantry. You are responsible for cleaning up after yourself in the Kitchen and common areas.
- We often have dinner volunteers that will provide meals for families on a weekly basis.
- Please make sure that the tables are wiped down, and that dishes are in the dishwasher. Please do not leave dishes in the sink. Unload the dishwasher as needed. We need all guests to pitch in to keep our kitchen clean!
- To contribute to a clean and healthy environment, no open food, beverages or cookware (including crockpots) are allowed in the guest rooms. Please eat all meals in the dining room.
SAFETY & SECURITY:
- Guests are required to keep their keys on them at all times. Do not share or leave your keys with anyone. Guest room doors lock automatically, and the front door is locked at all times.
- You will be held responsible for allowing strangers to enter the building.
- Smoking is ONLY allowed in the designated outside area! If you are found smoking in your room or in any other non-designated space, you will be asked to leave. The designated smoking area is located outside at the end of the building along Brandau Place. Clean up your ashes and cigarette butts. Please enter and exit the building through the main front door ONLY.
- NO VAPING anywhere inside the house.
- Be familiar with all fire exits and extinguishers. Fire extinguisher use is ONLY for inside the building.
- For Elevator Emergencies, press the call button inside the elevator and someone will come on the phone to assist you.
CHECKING OUT:
- Please notify us of your checkout plans as soon as possible. Check out time is at 11AM on your day of departure. Rooms should be released no later than 12pm on day of departure or you will be charged for an additional night.
- Prior to check out, please see the front desk to obtain a cleaning checklist as you will be responsible for the cleaning of your room. Once completed, please let a volunteer or staff member know and they will walk through your checklist with you.
- There is a $100 fee for failure to clean room before departure. This fee will also be applied for any damage to the room or items in it.
- Please return all keys and parking permits to the front desk when you checkout. There is a $25 replacement fee for lost key cards or those not returned at checkout.
- If you anticipate that you will be checking out after office hours, please come by the front desk before it closes to settle your account or call the office as soon as we are open to make other payment arrangements. Please note that you will be charged for that night.
- Following your departure, you will receive a check-out survey regarding your stay with us. Please take the time to complete, as it is vital to maintaining and improving PHHH.
IN CASE OF EMERGENCY:
- For all medical emergencies, dial 911. After calling 911, please call the After Hours Emergency line at 615.329.0477* (star key). For all other emergencies outside staff office hours, please call the After-Hours Emergency line at 615.329.0477* (star key). Please note that it may take up to 2 hours for a response to lock-out calls.
- PHHH is not responsible for lost or stolen property or personal injury. If you encounter a problem, notify a PHHH staff member or call 911 if you are injured or feel threatened.
TRANSPORTATION:
- Vanderbilt Hospital provides a shuttle for its patients and families from 6:30AM to 8:30PM. The VUMC shuttle does not run on weekends or holidays.
- If your patient is located in other hospitals, you will need to arrange for transportation. Talk to your social worker or patient affairs coordinator.
