Guest Policies

Please read carefully before agreeing to abide by our policies. If you are unable to comply with any of these policies, please consider alternate arrangements.

PHHH provides a home away from home for families and patients who travel to Nashville for medical treatment.

We strive to provide an atmosphere that is encouraging, supportive, loving, and restful. Our policies are designed to maintain this environment for all our guests. If you are ill or pose a health or safety risk to our staff or guests, we reserve the right to ask that you leave.

REGISTRATION POLICIES:

  • All guests must complete and pass a background check. Upon arrival you must complete a registration form in the office. If any person without paperwork on file is found using the door code or is present in the residence unaccompanied by a registered family member, that person and the associated family will be asked to leave immediately.
  • Payment is due each Monday. Cash, personal check, MasterCard, American Express, and Visa are accepted. You may be asked to place a card on file. 
  • Guest rooms are filled on a strictly first-come, first-served basis. At the time of check-in each registered guest will be given a wrist band to be worn for the duration of their stay. 
  • Overnight absences must be authorized by a staff member.
  • No pets are allowed including therapy or emotional support animals. Working Service Dogs must be pre-approved in advance.  

IMPORTANT REMINDERS:

  • PHHH staff will conduct weekly room inspections with no advance notice.
  • Under NO conditions are alcoholic beverages, illegal substances, or weapons allowed onto any of the premises. If you violate this policy, you will be asked to leave.
  • Please note that all common areas are under 24/7 video surveillance.
  • Any guest over the age of 18 must complete and pass a background check. Any guest found on property without doing so will forfeit the room.
  • Registered guest must always wear their wrist band.
  • Children under the age of 18 are the sole responsibility of their parents or guardians. No child should be on PHHH property without a parent or guardian present.
  • The use of space heaters is not permitted in guest rooms.
  • Your key includes a lanyard to wear; you are responsible for keeping your keys with you at ALL TIMES. DOORS WILL AUTOMATICALLY LOCK BEHIND YOU. Your key will be used for the exterior doors, your individual room, and your food cubby located in the kitchen.
  • The use of Space Heaters is strictly prohibited at PHHH.
  • Guests are responsible for the cleanliness of their room and bathroom.
  • Guests must register each vehicle parked on property and display a valid permit on the dash at all times. Unpermitted vehicles will be towed.

GUEST RESPONSIBILITIES & CONSIDERATIONS:

The safety of our guests, volunteers, and staff is our #1 priority. PHHH will not tolerate illegal, unethical, disrespectful or disruptive behavior. Your choice—or your guests’ choice—to violate our policies will result in your forfeiting the privilege to stay at PHHH. In addition, it is up to the discretion of our management to ask you to leave at any time. Returning to the property after being asked to leave will be considered trespassing and law enforcement will be called.

  • Please note that you are required to use your room on a daily basis. If an emergency arises that requires you to be away overnight, you must notify staff prior to your absence. Please note that you may be asked to release the room.
  • Sign in each night. The sign in board is located next to the front desk. Please use your magnet to indicate if you are in or out. If you neglect to sign in, we will assume you have departed and may give your room to someone on the waiting list.
  • Please unplug all electrical appliances, curling irons, etc. before leaving your room.
  • Guests must be fully dressed in common areas—no pajamas, or bare feet.
  • Please be respectful of other guests and their property. Be mindful that others may be sleeping at any time and keep noise to a minimum at all

COMPUTERS:

  • Computers are available for guest use 24/7. When using this computer, please be respectful of other guests and limit usage to 15 minutes.
  • Computers and Printers can be found in the Library and on the desk located off the Living Room.
  • If you have a laptop or other wireless-ready device, you may connect using the username and password below.

LAUNDRY:

  • There are washing machines and dryers located on the 1st floor past the front desk. They are free to use, and detergent is provided.
  • Please be aware of others who need to do laundry as well, and do not use more than one machine at a time.
  • Please place all dirty linens in a yellow bag. Then, place the yellow laundry bags in the rolling cart located in the hall past the front desk by the library.
  • Do not place comforters in the yellow laundry bags.

KITCHEN:

  • You are responsible for preparing your own breakfast, lunch, and some dinner meals. Some food is available in the House Pantry. You are responsible for cleaning up after yourself in the kitchen and common areas.
  • We often have dinner volunteers that will provide meals for families on a weekly basis.
  • Please make sure that the tables are wiped down and that dishes are in the dishwasher. Please do not leave dishes in the sink. Unload the dishwasher as needed. We need all guests to pitch in to keep our room rates low!
  • To contribute to a clean and healthy environment, no open food, beverages or cookware (including crockpots) are allowed in the guest rooms. Please eat all meals in the dining room.

SAFETY & SECURITY:

  • Again, guests are required to keep their keys on them at all times. Do not share or leave your keys with anyone. Guestroom doors lock automatically, and the front door is locked at all times.
  • Smoking is allowed in the designated outside areas only! If you are found smoking in your room or in any other indoor or outdoor space, you will be asked to leave. The designated smoking area is located at the end of the building (orange hallway) along Brandau Place. Please enter and exit through the main front door.
  • If you get stuck in the elevator at any time, please press the call button as someone will be on the phone to assist you.
  • You will be held responsible for allowing strangers to enter the building.
  • Be familiar with all fire exits and extinguishers. 

CHECKING OUT:

  • Please notify us of your checkout plans as soon as possible, check out time is at 11AM on your day of departure. Rooms should be released no later than 12pm on day of departure or you will be charged for an additional night.
  • Prior to check out, please see the front desk to obtain a check-out cleaning checklist as you will be responsible for the cleaning. Once completed you will then bring the checklist with you to the front desk. A volunteer or staff member will then walk through your checklist with you.
  • There is a $100 fee for failure to clean room before departure. This fee will also be applied for any damages to the room or items in it.
  • Please return all keys to the front desk when you checkout. There is a $25 replacement fee for lost key cards or those not returned at checkout.
  • If you anticipate that you will be checking out after office hours, please come by the front desk before it closes to settle your account or call the office as soon as we are open to make other payment arrangements. Please note that you will be charged for that night.
  • Following your departure, you will receive a required check-out survey regarding your stay with us. Please take the time to complete, as it is vital to maintaining and improving PHHH.

IN CASE OF EMERGENCY:

  • For all medical emergencies, dial 911. After calling 911, please call the on-call number, 615-708-2018.
  • For all other emergencies outside staff office hours, please call 615-708-2018. Please note that it may take up to 2 hours for a response to lock-out calls.
  • PHHH is not responsible for lost or stolen property or personal injury. If you encounter a problem, notify an PHHH staff member or call 911 if you are injured or feel threatened.

TRANSPORTATION:

  • Vanderbilt Hospital provides a shuttle for its patients and families from 6:30AM to 8:30PM. The VUMC shuttle does not run on weekends or holidays. You will need to provide your own transportation on these days.
  • If your patient is located in other hospitals, you will need to arrange for transportation. Talk to your social worker or patient affairs coordinator.
